Cancellation policy

CANCELLATION & REFUND POLICY

  1. General Cancellation & Refund Rules
    • Cancellations made 10 days or more before the scheduled activity start date are eligible for a full refund.
    • Cancellations made less than 10 days before the scheduled activity start date are non-refundable.
    • Cancellations for Balkan Journeys products (or any other multiday trips) made 15 days or more before the scheduled activity start date are eligible for a full refund.
    • Cancellations for Balkan Journeys products (or any other multiday trips) made less than 15 days before the scheduled activity start date are non-refundable.
    • All deposits made under the “Lock Now, Pay Later” module are non-refundable regardless of cancellation timing.

  2. Force Majeure Exceptions
    • If an activity cannot take place due to unforeseen circumstances beyond the control of the buyer or seller (e.g., natural disasters, severe illness with documentation, political instability, travel restrictions, or other force majeure events), The Balkan Adventures may grant refunds at its discretion.
    • Buyers must provide supporting documentation for force majeure claims within 7 days of cancellation.

  3. Seller-Specific Cancellation Policies
    • The Balkan Adventures sets the general cancellation policy, which applies to all bookings.
    • If a seller allows refunds beyond these terms, it is subject to an additional request. However, The Balkan Adventures’ policy takes precedence.

  4. Rebooking & Credit Policy
    • Instead of a refund, buyers may opt to rebook the same activity on a different date (subject to availability).
    • Buyers may also choose to receive a credit to book another service from the same provider (subject to availability).
    • Credits cannot be used to book services from a different service provider.
    • Any credit request must be handled directly through The Balkan Adventures sales team. No automatic conversion of refunds into credits is available.
    • The list of services eligible for rebooking from the same provider must be requested through official email: info@thebalkanadventures.com.

  5. No-Show Policy
    • If a buyer fails to attend the booked activity and has not canceled or informed the platform or service provider as outlined in this Cancellation Policy, no refund will be issued.
    • Exceptions may be granted in force majeure situations (see Section 2).

  6. Minimum Participation Requirement for Tours & Activities
    • Certain tours and activities require a minimum number of participants to operate. If the minimum threshold is not reached, all affected customers will be contacted promptly.
    • In such cases, customers will be offered the option to book an alternative tour from the same service provider at no extra cost.
    • Should a customer be unable or unwilling to select an alternative tour, they will be eligible for a full refund regardless of the cancellation deadlines outlined in Section 1 and other parts of this policy (Section xyz).
    • This policy ensures that all customers receive a service that meets industry standards and provides flexibility in the event of under-booked activities.

  7. Refund Processing Time & Methods
    • Refunds are processed through a designated payment gateway, following their respective refund policies.
    • Standard refund processing time is 3-5 business days, but additional delays may occur depending on the buyer’s card provider or external financial institutions.
    • Refunds are issued via the original payment method only unless the buyer opts for rebooking or credit (see Section 4).

  8. Dispute Resolution & Platform Intervention
    • The Balkan Adventures reserves the right to intervene in disputes between buyers and sellers if a seller is found to have breached their contractual agreement or violated the Acceptable Use Policy (AUP).
    • In such cases, the platform may issue a refund directly to the buyer.
    • Any dispute not resolved through direct communication may be escalated through The Balkan Adventures’ official dispute resolution process.
